Getting Started

YearbookFusion is sold directly to publishers (printing companies and photo studios). Publishers allocate 1-year expiring licenses on a per school basis. We offer discounts for volume, smaller schools and in-house (as opposed to in-school) use.

Starting this fall, the YearbookFusion license purchasing method will be simplified to a new credit system. This will include a new set of tools to easily convert license types, perform cancellations and top-up your account via the online license manager (RepAdmin). Publishers will no longer need to pre-assess the exact number, size and type of schools requiring licenses, since allocations are deducted from a credit pool.

For existing publishers, your current license balance will be converted to the equivalent set credit rate. Complete details will be released in the coming month.

Note: LumaPix does not sell individual yearbook licenses directly to schools, nor do we provide printing services. If you are a member of a school or other organization in need of a software solution and possibly printing services, we can help match you with one of our existing yearbook publishing companies. Upload to Publisher

YearbookFusion communicates directly with your FTP server, allowing schools to submit finished projects directly to you.

The YearbookFusion order form includes the following fields. These will be used by all installed licenses of YearbookFusion that are associated with your RepID:

  • FTP server: Example: 123.123.123.123 / ftp.yourcompany.com
  • Port: Example: 21
  • User ID: Note: this user must have full control over the folder including the ability to create and enter subfolders
  • Password:
  • Default path: Example: “/ybf”
  • Preferred upload format for flattened projects: Example: JPG, PSD, PDF

Publisher Support – Overview

Rep Associations – Overview

Publishers (“reps”) can distribute their customized version of YearbookFusion by providing users with a ‘repID’ download link. This downloads a free trial of YearbookFusion, with a publisher’s branding and custom settings, and works on a Mac or PC. If the customer has purchased a license, then they can activate the software (convert it to a full license) immediately; if not, they can leave FotoFusion running in trial mode (e.g. for evaluation purposes).

The ‘repid’ download link places a branded/customized version of YearbookFusion on the user’s computer. The branding and customization settings are configured in Rep Admin – a self-serve online license administration tool provided by LumaPix (for Publisher use).

 

A customized install of YearbookFusion includes:

  • which branding is displayed in the interface
  • which FTP site will receive files that the end user uploads
  • which clip art or templates the customer should have access to
  • what support contact information should be exposed to the end user
  • the school’s name (used as a key to the database created by PSPA import)

Free Trials:

Reps can choose to give out free trials of YearbookFusion to prospects before allocating a license to them. This is a useful sales tool as it allows prospects to evaluate the software prior to making a commitment.

YearbookFusion will by default run in free trial mode, which watermarks all output, disables saving projects, uploads and archiving support. Once a license is allocated and the software is activated, these limitations disappear. Reps also have the option of making their FotoFusion installations insist on activation at first run (e.g. their software can’t run as free trials).

Tips on distributing YearbookFusion:

#1: Use your repID link:

Reps should NOT simply tell their prospects to download the software from the LumaPix website – they should tell prospects to download from their ‘repID’ download link. This tags the installer with Rep branding and custom settings. Use that link in your web site, email blasts, and other places where you instruct schools on downloading and installing their software.

#2: Don’t distribute older versions

In some cases, you may want to do a CD distribution of the software to prospects. This is OK if you keep your inventory levels as low as possible, but stock up and you’ll soon be distributing older versions of the software, as updates are released regularly. We recommend using the repID download link, which always installs the latest version of YearbookFusion.

#3: Activate users as soon as possible:

Until the software is activated, it runs in a limited trial mode which prevents local and cloud based saving. We recommend activating users as soon as possible, to prevent them not being able to save their work.

Customizing YearbookFusion

Customization Overview:

YearbookFusion is designed for ease of distribution to schools by publishers. It offers several opportunities for customization:

  • Your company branding (logo in start-up Screen and company name in title bar)
  • Custom form factors (project/page sizes) matching your products
  • Custom templates (page layouts) reflecting your ‘look’
  • Custom clip art available only to your customers

Form Downloads:

Branding:

The order form asks you to submit the following:

  • The name of your company as you would like it to appear in the application title bar
  • Your company logo, as an 359×59 pixel JPG image

Templates:

Your customers (and only your customers) can access templates that you have asked LumaPix to publish. Templates can include:

  • Frames
  • Text
  • Custom fonts (selected from the LumaPix library)
  • Custom fonts (from your font library, if you have the right to distribute them)
  • Frames and Textures (your own, or from the LumaPix library)

Clip Art:

Custom artwork from your collection can be published to your customers (and only your customers). Sample clip art includes:

  • PNG Embellishments
  • JPG Textures

Setting up schools

Account Management – RepAdmin

Rep Admin is a self-serve online license administration tool provided by LumaPix (for Publisher use). It allows reps to buy licenses from LumaPix and allocate them to end users, who can download and activate copies of the software that have been customized to the Rep’s specifications.

Allocating Licenses

Reps maintain a balance of license credits – one credit per customer. These licenses are purchased in bulk by the rep, and then allocated to end users.

The reps work with the Rep Admin tool, a custom web site that provides license balance information, customization options, and the tools to allocate licenses to end users.

When a rep allocates a license to an end user, they specify:

  • which type of license to allocate
  • what email ID to use to communicate with the end user
  • what name to use as the LumaPix user ID (usually equal to the email ID)
  • rep-specific customization options (see above)

When the allocation happens,

  • The Rep’s available license count drops by one
  • The new userID is added to the LumaPix database, together with the Rep’s ID, license type, and other information
  • A ‘welcome’ email is sent to the email ID specified for the end user

Activating the software

Activating the software means converting a free trial into a fully-licensed version. This is usually done on-site by the end user.

The user enters their LumaPix User ID, which they know from the welcome mail sent by the LumaPix server at the time the license was allocated.

Their User ID is checked against the main LumaPix user database to determine what type of license that user has bought. The free trial then converts itself into the type of license that was allocated to it.The communication that makes this possible is online. It’s simplest to have the end user be online, then choose ‘activate/online’ from the FotoFusion help menu. Offline activation is possible but much more involved, as the user must manually copy information from a server to the offline machine.

When a user ID is used to activate the software for the first time, the LumaPix server asks the user to choose a password. This password is saved at the server end. The next time the user activates the software with the same user ID, the server will ask the user to enter the existing password. Depending on the license type being activated, the server may allow this to happen more than once; an Extreme license can be activated twice (e.g. on a photographer’s PC and laptop) before alarm bells start going off at LumaPix; a YearbookFusion license can be used to activate up to 40 installations (each of which will share the same school name).

FTP Upload notifications:

FotoFusion can also communicate with your server to alert you of imminent and successful uploads, a process known as ‘ftp server pinging’.

FTP server ping example:

When an end user is ready to upload a package to the publisher, they choose ‘upload to Publisher’ from the file menu. The following things take place:

  • The current project is archived (referenced materials are pulled into a single file)
  • A script on the publisher’s server is called, indicating that an upload is imminent
  • The upload takes place via FTP
  • A script on the publisher’s server is called, indicating that upload is complete

This communication gives the publisher’s back-end processes an opportunity to prepare for content – for example, to offer a storefront / accept credit cards / verify shipto details, and so forth.

Responding to the ping is optional – publishers using a ‘hot folder’ approach can ignore the ping (and this example script).

It demonstrates how to interpret the incoming XML file, present a page offering some of those details, and act on the description of the incoming project.

IT Support Overview:

Introduction:

YearbookFusion is an installed application for PC and Mac. An Internet connection is required to license the software, provide graphic content, access cloud storage and upload projects.

The following section covers the installation and troubleshooting of common issues with YearbookFusion. References are made to the following security tools commonly found within school network environments:

  • Firewalls: Control what is allowed in/out of the network; to protect unauthorized access.
  • Proxy Servers: Enforce content filters; to block “offensive” Internet content.
  • Anti-virus: Protect workstations from viruses, malware and other malicious programs.

For security reasons, schools often route all network communication through a proxy server or firewall. Applications are also scanned by anti-virus software. Common usage and communication errors can be easily fixed by configuring YearbookFusion to work with these systems.

Quick Setup Guide:

The following is a quick start guide to installing YearbookFusion and performing a baseline connectivity test.

Step 1 – Installation:

Download and install YearbookFusion using your repID link: www.lumapix.com?repid=YourRepID

Proxy Configuration

This section covers how to configure proxy settings for FotoFusion on Mac and PC.

Automatic Proxy Configuration:

If a proxy server is being used, within FotoFusion go to: Edit > User Preferences > Networking and enable ‘Detect operating system proxy settings’.

Manual Proxy Configuration:

If the connectivity test still fails after using automatic settings, we recommend entering the proxy settings manually into FotoFusion.

Manual proxy configuration for Windows

Launch Internet Explorer. Go to: Internet Options > Connection > LAN Settings. Enter the proxy settings in FotoFusion.

Manual proxy configuration for Mac OS X

Open System Preferences > Network > Advanced > Proxies. Enter the proxy settings for Web Proxy (HTTP) and Secure Web Proxy (HTTPS) in FotoFusion.

Networking FAQ

I’ve followed the steps in this guide but I’m still getting connectivity errors. What should I do?

 

We recommend contacting your IT administrator and asking them to review our system requirements. It contains more detailed instructions for isolating connectivity issues. They can contact LumaPix Technical Support for more assistance.

My proxy settings are set to use ‘automatic proxy configuration’ (.pac). Does FotoFusion support this?

Sadly we do not support automatic detection of proxies which use this setting. Proxy information should be entered manually in FotoFusion. We recommend contacting your IT administrator for this information. Advance users can find out more here.

My school uses an ‘authenticated proxy’. Does FotoFusion support this?

Yes. We recommend using ‘Detect operating system proxy settings’. However, if this fails, you can enter the username/password manually in FotoFusion’s proxy settings.

We recommending contacting your IT administrator to assist with this process. They will be able to advise what type of authentication method and credentials are required.

My connectivity test passes. Why am I still seeing a ‘load failed’ error when activating or playing videos?

This can happen on Windows machines when multiple proxy settings are enabled in Internet Explorer. The error message will look similar to this:

System requirements

YearbookFusion is an installed application for both Mac and PC. General system requirements are available here.

URL Whitelist – Exceptions for web filters:

Add a wildcard unblock for the following domains. This should exempt these domains from URL and keyword filtering:

  • *.lumapix.com
  • *.amazonaws.com

If your web filter does not support wildcard unblocks, we have alternative methods available. Please contact LumaPix technical support ( support (at) lumapix.com ) for further information.

Firewall Port Settings:

  • Port 80: For Marketplace Content
  • Port 21: For Uploading Projects to Publisher
  • Port 443: For Remote Storage
  • Binary transfers should be enabled
  • Soap headers should not be filtered

Does YearbookFusion support detection of .pac scripts?

No, not at this time. However, proxy information can easily be extracted from a .pac script and entered manually into YearbookFusion.

To do this, copy the URL of the .pac script and paste it into a web browser. The downloaded file contains the URL/port of the proxy server being used. Generally speaking, this is always the last line of the script, prefixed with a ‘return’ statement:

For any links which fail in FotoFusion, we recommend testing them in a web browser to help narrow the cause of failure.

If the link passes: FotoFusion’s proxy settings have not been configured, or client side anti-virus is blocking outbound traffic from FotoFusion.

Anti-virus exceptions:

Unexpected software behavior, such as freezes, crashes, failed updates or communication failure can sometimes be caused by conflicting anti-virus software.

As part of the setup procedure, we strongly recommending adding real-time scanning and networking exceptions to the main execuable of YearbookFusion (%appData%/LumaPix/App/Collage.exe).

Network Installation:

Our Windows installer supports a silent flag which allows it to be deployed on machines without user prompts:

  • Download from your repID link. If you don’t know what this is, click here to download YearbookFusion.
  • Copy the setup executable to shared network location and run with the argument: /silent
  • Alternatively, publish via active directory by following this guide to convert the setup file.

Thin-client support:

We do not officially support running FotoFusion on thin-client hardware. However, many schools have reported success running YearbookFusion on thin-clients under Microsoft Terminal Services. Setup instructions are available on request by contacting LumaPix Technical Support (support@lumapix.com).
